Project Deployment Flowchart

Well-thought-out processes to protect everyone

First, go to the New Project box on the dashboard and preview the details of the project to determine the

recommended work package.

After analyzing the project details, answer the 3 basic questions from the Decision Tree below to

determine the recommended work package if it should be  Design&Build or Design-Bid-Build.

If the answer to the first question points to the upward direction, the recommended package

may be Design&Build. If downward, Design-Bid-Build. If the answer points to the middle, go to the

next question until  the last question.

On one hand, if the decision tree points to a Design&Build package,

there will be no competitive bidding and only one contractor shall be invited. The BuildPodd Admin shall

prepare the Project Invitation for the endorsed or best-match Design&Build contractor

so he/she will submit the Design Proposal first, then later on, the Request for Proposal for the

construction component.

On the other hand, if the decision tree points to a Design-Bid-Build package,

there will be competitive bidding with at least 3 contractors. The BuildPodd Admin shall prepare the

Project invitation to the recommended or best-match designer so he/she will submit the Design

Proposal first. Then, later on, the BuildPodd Admin shall prepare the Request For Proposal for at least 3

contractors.

Work Packaging Decision Tree

To prepare a Project Invitation, first, change the project status from New Project to Design Phase.

Who to invite in the Project Invitation stage depends on what work package was recommended by the Decision Tree.

If the recommended work package is Design&Build, the BuildPodd Admin shall invite a Design&Build Contractor,

to submit a Design Proposal first, and later on, a Request for Proposal for the construction component.

The BuildPodd Admin may invite either the endorsed one by the project owner or another one from the PODD

database. If the endorsed contractor by the project owner is not yet in the PODD database, the BuildPodd

Admin needs to add it first in the settings.

If the recommended work package is Design-Bid-Build, invite first an architect (or ID) to prepare the design and

later on invite at least 3 contractors to bid.

After the BuildPodd Admin invited an architect or a designer, the project owner is required to accept or reject

the invited architect or designer by clicking on the New Project tab in the dashboard. The project owner

may click the designer's peofile to assess his/her qualificarions. The a cepted designer will be added to the

dashboard side tab called My PODD Team and can be contacted anytime via the internal messaging app.

The design proposal shall only include the line item #1,

which is the Design Schematics +

Rendering + BOQ because the design

development, construction drawings,

 signing and sealing, shall be priced

and included in the construction

proposal.

2) The architect for Design&Build

package shall be under the

employment of the contractor, in

contrast with the Design-Bid-Build

package where the architect or

designer is an independent one and

csn not be influenced by the any

contractor.

3) Although the design proposals are

uploaded in the PODD system, the

payment shall be done externally by

the owner and the designer or

contractor and will not be in,cuded in

 the construction contract monitoring.

The project owner shall approve the proposal with the help of the BuildPodd Admin.

The architect shall start the design process by working closely with the owner.

1) Once the architect is done with the designs, rendering, and BOQ,

he/she shall upload the designs, specs, and fill up the BOQ in the system. The BOQ uploaded by the architect

shall be used by Admin as basis for the RFP. 

2.  If there are items that are not yet included in the Scope Of Work or BOQ,

the architect must advise the BP Admin so he can include it in the Admin dashboard.

1) Once the architect of the design-&-build contractor is done with the designs, rendering, and BOQ,

he/she shall fill up the BOQ in the system. The BOQ uploaded by the architect

shall be used by Admin as basis for the RFP.

2.  If there are items that are not yet included in the Scope Of Work or BOQ, the architect

must advise the BP Admin so he can include it in the Admin dashboard.

The Request For Proposal (RFP) is the equivalent of Invitation To Bid. It is primarily composed of the

Scope of Works as a template for the contractor to cost out.  The supplementary information to help in the

preparation of proposal includes::

1) Specifications

2) Drawings and Plans

3) Agreement Template

The owner shall approve the RFP by reviewing if the invited contractors are acceptable to him/her.

The contractor shall prepare the proposal based on the Scope of Works, drawings, specs, and contract conditions.

The architect shall help evaluate the proposal.

The owner approves the winning proposal as recommended by the architect.


The chosen contractor shall receive the Notice Of Award  via the messaging app. It contains also the requirement for a Performance Bond,

 

The contractor signs the Notice Of Award and sends it back. The contractor also agrees to process the

Performance Bond.

The owner signs the contract after the contractor signed it.

The Contractor, prior to signing the Contract, shall furnish a Performance Bond equal to 15% of the Contract

amount for the faithful performance of his work and 15% bond covering Contractor's obligations

arising from the Contract to its workers, subcontractors and suppliers. Such bonds shall be in the form of

surety bond as approved by the Owner, and shall remain in effect until replaced by the Contractor's guarantee bond.

The contractor signs the contract and notarizes it as soon as the owner has also signed it.

The contractor shall prepare the contract following the templates provided by BuildPodd. There are 2 types of contract templates that the contractor can use:

1) AT02 for the Construction Agreement arising from a Design-Bid-Build package.

2) AT04 for the Construction Agreement arising from a Design-&-Build package.

The project is now ready for turnover. The BuildPodd Admin may request a photo op with the PODD teams in the project with showcasing purposes.

The Notice To Proceed issued to the contractor after the contract signing to signal the processing building permits

and preparation of downpayment billing.


The contractor prepares the plans and documents for the application of the building permit and upload into the

project dashboard once secured.

After the contractor and the owner have signed the contract and notarized afterwards, the contractor

shall then prepare the downpayment billing by filling up the form the dashboard

The surety bond shall be secured by the contractor prior to the collection of the downpayment.

The project owner pays the 30% downpayment only when the contractor has submitted the surety bond. The payment

will be done directly to the contractor following their agreed method.

The contractor prepares the progress report using the app.

The progress billing shall be automatically generated after the preparation of a progress report.

The BuildPodd Admin shall help evaluate the accuracy of the progress report in coordination

with the construction administrator or architect.

The architect, who acts as the construction adminstrator, shall verify if the progress corresponds

to the photos of accomplishment and the actual conditions at site.

The owner pays the progress billing as soon as the architect and admin advises him/her to do so.

After the 100% progress billing, the contractor prepares a punchlist and invites the owner for inspection of the project.

The owner, together with his/her construction administrator or architect, shall inspect the project and submits

the findings for rectification, if any. The contractor shall acknowledge the rectification works and advise again the

owner for inspection once the rectification is done.

The architect, who serves as the construction administrator, shall be also accept the rectifications done.

As soon as the owner and the architect has accepted all the rectifications done on the project, the contractor can now proceed with the submission of requirements to secure the occupancy permit.

The contractor uploads the occupancy permit copy into the project dashboard.

The contractor may opt to collect the retention money by securing a retention bond.

The owner may release the retention money as soon as the contractor submits the retention bond.

The signed and notarized contract shall be uploaded by the contractor into the project dashboard.

How Do We Determine The Work Package?

There are two (2) basic work package types that we always consider for optimum execution of work:

1) Design-&-Build
